Helpdesk migration, answered.

What teams ask before they migrate. If yours is not here, ask a migration expert.

Helpdesk data migration

What is a helpdesk migration?

A helpdesk migration moves your support data from one platform to another: companies, contacts, tickets or conversations with their replies, notes and attachments, tags and knowledge base articles, with the links between them kept. Configuration such as triggers, macros, SLAs and views is not data, so it is not part of the migration.

Which platforms can DataGrine migrate between?

DataGrine migrates helpdesk data in any direction between platforms whose API exposes the data. Common routes include Intercom, Freshdesk, Zendesk, SolarWinds, Help Scout, Gorgias, and the supported products page lists every product we migrate.

Can we run the migration ourselves, or does DataGrine run it?

Either. You can run it yourself on the DataGrine platform, which is built to be used by your own team, or have DataGrine’s migration team handle it end to end. Both come with 24/7 premium support from the DataGrine team.

What carries across in a DataGrine migration?

Companies, contacts, tickets or conversations with every reply and internal note in order, their authors and attachments, custom fields, tags, assignees and knowledge base articles. Original timestamps are kept wherever the destination’s API accepts them.

What happens to fields that have no equivalent on the new platform?

You decide before anything moves. Every field and value is mapped in writing, and for each gap you choose the fallback: a custom field, a tag, a note or a deliberate drop. A record that travels with a fallback is flagged, never defaulted silently.

Can we test a migration before committing?

Yes. A sample of your own records goes into the destination first, so you can open them and check threading, attachments and the mapping. The full migration runs only after you sign off the sample.

Does our support team have to stop working during the migration?

No. The full run happens while your team keeps working in the old helpdesk, and a delta run at cut-over carries only what was created or changed since.

How long does a helpdesk migration take?

Mostly as long as the platforms’ API allowances take to move your volume: every helpdesk limits how fast its data can be read and written. Because the full run happens while your team keeps working, the cut-over itself is only the short delta run. Your dates come from your record counts.

How is a migration priced?

By how many records move and whether you run it yourself or have the DataGrine team run it. You get a quote once the records in scope are counted, before anything moves.

Does DataGrine remove duplicate contacts during a migration?

Yes. Contacts and companies are matched on email or an external ID before anything is created, so a person who already exists in the destination is updated rather than duplicated. Ticket and conversation history from both sides lands on the one matched record.

If we leave a platform later, can we take our data with us?

Yes. Tickets or conversations, contacts, attachments and knowledge base articles are your data, and DataGrine can migrate them out to another platform with a sample run first and a reconciliation report. Configuration such as workflows, automations and SLAs is not data, so it stays behind and is rebuilt on wherever you move to.

The DataGrine migration platform

What is the DataGrine migration platform?

It is the migration engine DataGrine built and maintains, and every DataGrine migration runs on it, whether you run it yourself or the DataGrine team does. It is open as a closed beta at app.datagrine.com, with limited seats.

What can I do in the migration platform myself?

Connect both platforms, map every field and the values inside it, run a demo on a sample of your own records and check them in the destination, then run the full migration and delta runs. Every run is kept with what it created, updated and failed, and can be rolled back from the same screen.

Can a migration be rolled back?

Yes, run by run. A rollback reverses only what that run wrote: records it created are removed, and records it updated are put back to what they held before.

How do we know everything arrived?

Every object is reconciled against the source in a report, and each record shows any warning where something did not travel exactly, such as a value that fell back to the default you chose.

What is a delta migration?

A delta migration moves only the records created or changed since the previous run, not the full history again. It is what lets a team keep working during a helpdesk migration: the full run moves everything in the background, and a short delta run at cut-over catches up whatever changed since.

Partners

Does DataGrine work with helpdesk partners and agencies?

Yes, in three ways: refer a migration to DataGrine, co-deliver it with DataGrine inside your project, or have DataGrine deliver it white-label under your name. The customer stays yours, and DataGrine does not pitch other services to the customers you bring.

Can a partner try DataGrine before a paid project?

Yes. Partners can start with a free pilot on a real scenario, a live opportunity or a sandbox, and get the same outputs a paid migration gets: a written mapping, a sample migration and a reconciliation report for the sample.

Security

How does DataGrine handle our data and API credentials?

The source is only read, never written to. API credentials are encrypted at rest, attachments stream from source to destination, and migration data is purged on a set schedule. The security page sets out the details, including what DataGrine does not have yet.

Does DataGrine sign a data processing agreement?

Yes. A data processing agreement is available, and it is published on the DPA page.

Working with DataGrine

Who will we speak to?

A DataGrine migration engineer, not a sales team. The first conversation is a 30-minute call.

Where is DataGrine based?

DataGrine was founded in 2026 and is based in Chennai, India. Support is available 24/7.

Is DataGrine the same as DataGrip?

No. DataGrine, a name inspired by the peregrine falcon, is a helpdesk migration company based in Chennai, India, at datagrine.com. DataGrip is a database IDE made by JetBrains. The two are unrelated.

More detail: migration routes, supported products and the partner program. How we handle your data is on the security page.
